Read these 2 Emails. Which one is better? Why?
Answer
I prefer to read version2 of the internal message which very simple, concise and easy to understand. I mean, it’s not too complicated and I can easily find the important points. The way that Version2 organized is better than Version1 as well, even in style of writing, heading, and grammatical.
For version1, before I read an email, I saw the message then I feel too lazy to read that kind of message which is so bored and too long. It’s not attractive and no any influence for me to read it all. But for version2, everything is too short and full of information for people who get involved in the organization. When I saw these two Versions and just read it, I feel that Version2 has more influence on me to read before I moved on and read the email Version1.

First read the information below. Then identify the four stages in email version2.
Answer
Situation- Mr. Bianchi of Ferrara Textiles will visit the company tomorrow.
Problem or Objective- To inform every staff in every department to know and have well prepare before Mr. Bianchi come to the company.
Solution or Strategy- To remind everyone to have a responsibility to give him a warm welcoming and greet him by name and take time to answer his questions and be nice with him. Moreover, there should have some staff available all the time even in a lunch time, there must be someone available in any sections.
Closing comment- The message end with a useful endings which is “thank you for your cooperation” but the following should has contact address, name or position that can tell any staff, this message is from Who and Where. For the people who have got the questions or problem, so then he or she can contact back and get direct and clear information.
